In accordance with the Nov 11, 2019 Board of Directors Meeting:
Changing the Annual Dues Collection Period: Annual dues are currently collected in June and July. Notice of this bill is sent via email and dues are considered delinquent if not received by July 31st.
To streamline business practices and make ownership responsibilities easier for our members, Jan Meyer and Darcey Philpot proposed moving the annual dues collection period to coincide with our annual meeting notice.
The annual meeting notice and ballot are mailed to members in early March. This is a required mailing, per Arizona statute. A self-addressed stamped envelope is included with the meeting notice for the purpose of returning the ballot prior to the annual meeting.
By moving the annual dues collection to March and April, we could capitalize on a mailing we are required to make and notify members in writing of the annual dues collection period. Members could then utilize the self-addressed stamped envelope to return both their annual dues and ballot. Dues would be considered delinquent if not paid by the annual meeting. The board agreed to this change effective March 2020.
Increasing the Penalty Assessment for Delinquent Annual Dues: Currently, delinquent dues are assessed a $5 late penalty fee per lot. As an incentive to encourage timely payment, it was proposed to increase the late penalty fee to $10 per lot. Kristi Kidwell moved to increase the delinquent penalty assessment to $10 per lot and Keith Peterson seconded the motion. The motion was unanimously passed.
